The Executive Assistant will occupy a key position within the operations team at Biohm, supporting, enriching, and expanding the capacities of Biohm’s leadership team and executives as they lead an ambitious and passionate team , developing commercialising, and scaling radical biotechnologies that will revolutionise industries and economies.
Biohm is seeking an accomplished Executive Assistant to provide high-level support to our Founder/CEO and Directors. In this role, you will be a crucial liaison to the Founder/CEO as well as the Board of Directors. Your dynamic contribution will ensure seamless communication, organisation, and coordination across multiple functions, allowing our team to focus on driving transformative change in the biotech industry.
As our Executive Assistant, you will masterfully manage complex calendars, expertly coordinate meetings and events, effectively manage procurement, bookkeeping and other financial responsibilities, and serve as a professional point of contact for both internal and external communication. Your meticulous attention to detail will shine as you assist in preparing briefings, reports, presentations, and documents, while also taking charge of administrative tasks such as travel arrangements and expense reporting.

The role requires someone with prior experience as an Executive Assistant, Personal Assistant, or equivalent role, ideally within a startup/scaleup environment.
Key Responsibilities:
● Systems Management and Business Administration | Establish and maintain the company’s administration and operational platforms and systems, including IT/digital and paper filing systems, digital platforms and operational databases, ensuring protocols and processes are developed and followed to increase operational and administrative efficiencies.
● Diary Management | Efficiently manage complex calendars for the Founder/CEO and Board of Directors. Coordinate meetings, appointments, and travel arrangements to ensure optimal scheduling.
● Communication Liaison | Serve as a point of contact for internal and external communication on behalf of the CEO and Board of Directors, when necessary. Facilitate clear and timely communication, managing emails, phone calls, and correspondence.
● Meeting Coordination | Plan, organise, and execute meetings, conferences, and events, both inperson and virtually. Prepare agendas, collate materials, and ensure seamless logistics.
● Documentation and Reporting | Assist in preparing reports, briefings, minutes, presentations, and documents for internal and external purposes. Maintain accurate records and files to ensure information is readily accessible.
● Travel Management | Arrange domestic and international travel, including flights, accommodations, and transportation. Anticipate travel needs and provide comprehensive itineraries.
● Administrative Support | Provide general administrative support, including expense reporting, invoice processing, and maintaining office supplies. Assist in the preparation and distribution of official correspondence.
● Bookkeeping | Manage basic bookkeeping tasks, including financial recordkeeping, tracking expenses, invoice reconciliation, and liaising with the Director of Finance as needed.
● Relationship Building | Build and maintain strong working relationships with internal teams, external partners, clients, and stakeholders. Represent the leadership team professionally and uphold the company's reputation.
● Compliance and Health & Safety | Assist the Director of Operations in ensuring that all operations meet company standards and are compliant with regulations such as OSHA, EPA, or FAA, including the management of business and infrastructure insurances and accreditations. Responsible for implementing and monitoring operational policies and procedures to provide continuous improvement.
● Special Projects | Support special projects and initiatives led by the Directors, Head of Business Development, and the CEO. Take ownership of specific tasks and deliverables as assigned.
● Confidentiality | Handle sensitive and confidential information with discretion and professionalism.
Key Requirements & Skills:
● Bachelor's degree in business administration, business management, communications, or a related field. Relevant certifications are a plus.
● Proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior executives.
● Exceptional organisational skills with a keen eye for detail and the ability to multitask effectively.
● Strong written and verbal communication skills, with the ability to communicate confidently at all levels.
● Excellent analytical, organisational, and problem-solving abilities.
● Proficiency in office software and tools, including Microsoft 365, MS Office Suite, and virtual meeting platforms.
● Ability to prioritise tasks, work independently, and meet deadlines in a fast-paced environment.
● Professional demeanour, demonstrating tact, diplomacy, and confidentiality in all interactions.
● Flexibility to adapt to changing priorities and unforeseen circumstances.
● Positive attitude, proactive mindset, and a collaborative approach to teamwork.
● Previous experience in the biotech industry or a technology-driven environment is a plus.
